VM Options

Purpose

The VM Options form is used to define parameters for Notification Calls (i.e., calls to mailbox subscribers to notify them of new messages), call transfers by the Auto Attendant, and directory prompts (i.e., prompts on using call-by-name to reach mailbox subscribers) and PMS protocol usage for hotel/motel installations.

Send Notification Calls

Enable this option to have the system call a subscriber's pager or other device when a message is left in the subscriber's mailbox. Notification takes place only if the option is enabled here and in subscriber's mailbox settings. The number that the system calls to notify the subscriber is specified in the subscriber's mailbox settings.

Enter a telephone number up to 20 digits long to display on digital pagers when the system notifies a subscriber. Valid digits include 0 to 9, and the [*], [#], and [,] keys.

Auto-Attendant Transfer

Allow Transfer To Any Number

Enable this option to allow the Auto Attendant to transfer calls to any destination in the system whether or not it has a mailbox. To narrow the scope of allowable destinations, use the accompanying field, "Restrict Number that Begin with e.g. (6,8,9)."

To only allow transfers to extensions that have a mailbox, use the default setting, "Disabled."

NOTE: The Auto Attendant can only transfer calls to mailboxes on the local PBX and to mailboxes whose number is the same length as its extension.

A programmable field used to prevent callers from accessing system resources, such as trunks, ARS routes, and extensions, via the Auto Attendant.

See below for conditions on restricting extensions.

Access is prevented by programming the system to deny transfers when the leading digit(s) dialed match(es) the leading digits of a trunk group access code, extension, or other system resource. The field accepts up to 10 characters including commas. Use the commas to separate the different digits you want to match. For example, to deny access to a '71' trunk group and extensions beginning with the digits 300, enter 71, 300 in this field.

IMPORTANT: You cannot restrict an extension number that has a mailbox. The Auto Attendant always transfers call to such extensions even when its leading digits are in the restricted list.

Enable Supervised Transfer

Enable this option to allow the Auto Attendant to transfer calls using supervised transfers.

Transfer Ringback Timeout

Enter the amount of time to wait before a call transferred by the auto attendant to an unanswered extension is returned for further processing. Range 0-99 seconds.

NOTES

  • Set the Transfer Ringback timer longer than the Call Forward No Answer timer in the voice mail port Class of Service. Otherwise, the call will bypass the transfer-aborted prompt and go the CFNA destination (the voice mail hunt group) instead.

  • This timer applies to supervised transfers. For unsupervised transfers, the timer value used is always the default 17 seconds. Any changes made to the timer when the system is programmed to do unsupervised transfers are ignored.

Select this check box to allow voice prompts to play while the Auto Attendant transfers your call to the destination.

Directory Voice Prompt

Set Prompt for

Callers using the personnel directory (Mailbox 9) to reach a mailbox subscriber, are prompted to dial the subscriber's first or last name.

NOTE: To work as intended, make sure the subscriber name order in the VM Mailboxes form is consistent with the option selected in this form. For example, if the option is set to 'Last Name' enter Smith,John and not John,Smith.

Enable Mailbox Lockout

Enable this option to lock a mailbox after three failed login attempts. This option applies to all passcode-secured mailbox types.

Mailbox Unlock Timeout (minutes)

Enter the amount of time in minutes (from 0 to 60 minutes) after which a locked mailbox is automatically unlocked.

If you enter 0, then the mailbox is locked and is not unlocked automatically. You can unlock the mailbox by resetting the passcode using the Desktop Tool, VM Mailboxes form, or the User and Services Configuration form.

Admin

Enter passcodes to allow access to the administrator mailbox functions. All three passcodes must be entered  to access the mailbox.

The minimum length of the passcode is specified by Minimum Mailbox Passcode Length and the maximum length is 10.

NOTES

  • 53xx phone supports only up to 6 digits in VVM (Visual Voice Mail).

  • Passcodes can be changed from the administrator mailbox once they are entered in this form.

  • Upon restore of old EMEM database from previous version, the old pass-codes will be restored in the system.

  • If the Admin, Manager, and Technician passcodes are of different lengths, then the EMEM will wait for the maximum-digits passcode. The inter-digit timeout period is 4 seconds to login. Alternatively, you can press  ‘#’  to log in if the passcode entered is less than the maximum digits passcode.

Enable this option to allow editing and deleting of mailboxes through the administrator's mailbox.

Use this option to enable (True) or disable (False) the Personal Contacts feature at the system level (for all mailboxes).

Minimum Mailbox Passcode Length

From the drop-down list, select the minimum mailbox passcode length. The selected length applies to all passcodes on the system: the Administrator, Manager, Technician, and user passcodes. Notify all subscribers before making passcode length changes.

When increasing the length, one or more zeros are appended to the existing passcodes to make them the required length. For example, if a subscriber's passcode is 8225 and the length is changed to 7, the new passcode becomes 8225000.

NOTES

  • Maximum length of the passcode is up to 10 digits.

  • 53xx phone supports only up to 6 digits in VVM (Visual Voice Mail).

  • In a resilient configuration, if you change the passcode length on one system, you must also change it on the other system. Otherwise, there will be a discrepancy between the primary and secondary controller and the SDS synchronization will fail.

  • If the passcode length is changed using the Administrator's Mailbox, the modified value will override this setting.

Enable Admin TUI

Select this check box to enable access to the Admin Telephony User Interface (TUI).

Enforce Complex Passcode

Select this check box to enable validation of a new or existing mailbox PIN.

The validation rules are as follows:

  1. The new PIN cannot match the old PIN.

  2. The new PIN must have a length of 4 to 10 digits.

  3. The new PIN cannot match its respective user's mailbox number.

  4. The new PIN cannot be a sequence of consecutive digits (example, 1234 is not allowed).

  5. The new PIN cannot be a digit repeated more than thrice in succession (example, 1111 is not allowed).

NOTES

  • The passcode validation rules are applicable for passcodes updated through the Telephony User Interface (TUI).

  • If you are upgrading a non-compliant system from a version that does not support this feature to a version that supports this feature, then VoiceMail users are required to change their passcodes in the next login session.

Mailbox Length

From the drop-down list, select the mailbox length (2 to 7 digits). Note that changing this value will delete all existing mailboxes.

NOTES

  • If the mailbox length is changed using the Administrator's Mailbox, the modified value will override this setting.

  • This value and the directory number digit lengths must be the same; otherwise, you will not be able to edit mailboxes from the Group Administration Tool, or from the User and Services Configuration form.

Email Sender's Address

Select which of the Email sender's (From:) addresses will be used when voice messages are forwarded to Email (see Forwarding Voice Mail to Email or Embedded Unified Messaging).

NOTE: Selecting "System Default" gives you the option to place the address on a firewall allow-list -- preventing Email messages from being treated as spam and ensuring their successful delivery.

Admin:Enter a passode to allow access to all administrator mailbox functions. All three passcodes (Admin, Manager, Technician) must be entered in order to access the mailbox. Passcodes must be digits in the range 0-9 and from 3 to 6 digits in length.

Manager: Enter a passode to allow Manager-level access to the administrator mailbox functions. All three passcodes (Admin, Manager, Technician) must be entered in order to access the mailbox. Passcodes must be digits in the range 0-9 and from 3 to 6 digits in length.

Technician: Enter a passode to allow Technician-level access to the administrator mailbox functions. All three passcodes (Admin, Manager, Technician) must be entered in order to access the mailbox. Passcodes must be digits in the range 0-9 and from 3 to 6 digits in length.
